How to ask for payment and keep the customer

Start friendly

Most late payments are forgotten, not refused. A short, warm note on or just after the due date usually works, and it keeps the relationship intact.

Put the details in the message

The invoice number, the amount and how to pay. If the customer has to dig for them, the reminder gets put off again.

Get firmer in steps

If a friendly note gets no answer, follow up after a week or two with the overdue version, then the final one. Each one should be a little firmer and never rude.

Ask for a reply

"Let me know when I can expect payment" gives the customer an easy next step, and a reply tells you whether there is a problem with the invoice.

Questions about payment reminders

When should I send a payment reminder?

Many businesses send a short note on or just after the due date, a firmer one a week or two later, and a last one after that. Match it to the payment terms you gave on the invoice.

Can I charge a late fee?

Only if you agreed it in advance, for example in your terms or contract. Rules on late fees vary by state, so check before you add one.

What if they still don't pay?

Keep your messages short and in writing, and keep a record of them. What to do next is your decision, and for a large amount it is worth asking a lawyer or a collections professional about your options.

Is this reminder tool free?

Yes, with no account and no card. What you type is not saved.
