What to put on a contractor's invoice
Invoice a long job in stages
A deposit, progress payments and a final payment keep cash coming in and keep each invoice small enough to approve quickly.
Give change orders their own line
Describe the change and the date you both agreed to it. It is the line most likely to be questioned later, so it should be easy to trace.
Separate materials, labor and subcontractors
The customer sees where the money went, and you can see your own margins at a glance.
Use the Notes box for your terms
Payment terms, your license number and warranty wording print at the bottom of the invoice, where they're easy to point to.

Questions about contractor invoices
How do I invoice a deposit and a final payment?
Make one invoice per stage. Add the deposit as the first invoice, progress invoices as the work moves on, and a final invoice for the balance. Each invoice number can refer to the job.
What is a change order and does it go on the invoice?
It's an agreed change to the original scope or price. List it as its own line, with a short description and the date, so it adds up to the invoice total and can be traced back.
Do I charge sales tax on contracting work?
It depends on your state and on whether you're selling services, materials or both. Check with your state's tax agency or your accountant. This generator doesn't calculate tax, so add it as its own line if you charge it.
