What to put on an auto repair invoice

Put the vehicle on the invoice

Year, make, model, VIN and mileage in, typed into the first line or the Notes box. It ties the invoice to one car, and it helps if the customer comes back with a question.

List parts and labor on separate lines

Customers expect to see what the parts cost and what the work cost. A line for each part, with the quantity, is easier to explain than one lump sum.

Record what the customer approved

If the customer agreed to extra work after you found it, say when and how in Notes. A repair is easier to stand behind when the approval is written down.

Line items auto repair shops often use

  • Diagnostic fee
  • Labor (per hour)
  • Parts
  • Oil and filter change
  • Brake service
  • Tire rotation and balance
  • Shop supplies
  • Towing

Questions about auto repair invoices

How should I show shop supplies?

Either as its own line with a clear name, or built into your labor rate. Whichever you do, do it the same way every time, so customers aren't surprised.

Should the invoice say whether parts are new or used?

It's good practice to. Say in the line description whether a part is new, used or remanufactured, so the customer knows what went on their car.

Do I charge sales tax on auto repair parts and labor?

It depends on your state and on what's being sold, and the rules for parts and labor can differ. Check with your state's tax agency or your accountant. This generator doesn't calculate tax, so add it as its own line if you charge it.
